These Terms apply to all registrations and class bookings at Taiso Academy of Gymnastics CIC ("the Club", "we", "us"), a Community Interest Company. By registering a gymnast, parents/guardians ("the Parent") agree to be bound by these Terms.

1. Registration & Eligibility

1.1 All gymnasts must be registered by a parent or legal guardian. The Parent is responsible for ensuring all provided information is accurate and up to date.

1.2 Gymnasts must be in good health and cleared to participate in physical activity. Parents must inform the Club of any medical conditions, injuries, allergies, or medications before a gymnast begins classes.

1.3 The Club reserves the right to refuse registration or withdraw a gymnast from the Club at any time, with immediate effect, for serious misconduct or safety concerns.

2. Bookings & Payment

2.1 After-school classes are charged on a monthly basis. Fees cover the gymnast's place for that month and are payable whether or not the gymnast attends every session.

2.2 Current monthly fees are:

  • £45.00 per month - 45-minute classes (Reception - Year 2)
  • £54.00 per month - 1-hour classes (Year 2 - Year 4, Year 3 - Year 5, Year 4+, and Year 5+)

Fees may be updated from time to time. Any change will be communicated to Parents in advance.

2.3 Monthly payments are collected by Direct Debit via GoCardless. By setting up a mandate, the Parent authorises recurring monthly collections in accordance with these Terms and the Direct Debit Guarantee.

2.4 The Club uses its discretion when allocating gymnasts to age/ability groups.

2.5 Attendance is not mandatory. Missed sessions (including holidays, illness, or any other absence) do not attract an automatic refund, credit, or make-up class — see Sections 3 and 8.

2.6 Pre-school or other pay-as-you-go sessions, where offered, are charged per session as advertised and are not part of the monthly Direct Debit arrangement.

3. Refund Policy

3.1 New Members

If a gymnast is new to the Club and, after starting classes, the Parent decides that gymnastics is not suitable, they may request a refund of the first monthly payment. Any refund will be pro-rated for the remaining weeks in that month after the Club receives the request (classes already attended, or that have already taken place in that month, are not refunded).

Refund requests under this clause should be made by email to info@taisogym.co.uk during the first month of membership.

3.2 Continuing Members

Once a gymnast has continued beyond their first month, monthly fees already collected are non-refundable. If the Parent stops attending partway through a paid month, the Club retains that month's payment and the gymnast may attend any remaining classes in that month.

3.3 Direct Debit Guarantee

Nothing in these Terms affects the Parent's rights under the Direct Debit Guarantee in respect of incorrect or unauthorised Direct Debit payments.

4. Conduct — Gymnasts

4.1 All gymnasts are expected to:

  • Listen to and follow instructions from instructors.
  • Participate in the warm-up.
  • Be respectful to coaches, fellow gymnasts, parents, and Club staff.
  • Use appropriate language at all times. Swearing, bullying, or aggressive behaviour will not be tolerated.
  • Follow all safety rules and instructions. Failure to do so may result in removal from the class.
  • Stay within the designated gymnastics areas unless given permission to leave.
  • Treat all equipment and the venue with care.

4.2 If a gymnast's behaviour is disruptive, dangerous, or disrespectful, a verbal warning will be given. Continued misbehaviour may result in removal from the class.

5. Conduct — Parents & Spectators

5.1 Parents and spectators are expected to:

  • Be respectful to coaches, staff, other parents, and gymnasts.
  • Not interfere with coaching or give instructions to gymnasts during class unless asked by the coach.
  • Not use abusive, threatening, or aggressive language or behaviour.
  • Supervise their children at all times while on Club premises.

6. Dress Code

Gymnasts must come appropriately dressed to carry out physical activity. Examples include a t-shirt or leotard with shorts or leggings. Long hair must be tied back. Any jewellery that poses a safety risk will need to be removed before class.

7. Health, Safety & Insurance

7.1 The Club holds public liability insurance. However, this does not cover injuries resulting from a gymnast's failure to follow instructions or safety rules.

7.2 Parents must inform the Club immediately of any injury sustained during a class. The Club will take appropriate action, which may include first aid, contacting emergency services, or notifying the Parent.

7.3 If a gymnast is unwell (including cold, flu, stomach bugs, infections, or contagious conditions), they must not attend class. Parents should keep sick children at home.

7.4 The Club follows safeguarding policies in line with British Gymnastics guidance. All staff and volunteers hold current DBS checks.

8. Absences

8.1 No refunds, credits, or make-up classes are automatically offered for holidays, illness, or any other absence.

8.2 On written request, the Club will endeavour to arrange catch-up sessions for absences, but this is not guaranteed and is at the Club's discretion.

9. Data Protection

9.1 The Club collects and processes personal data (names, dates of birth, medical information, contact details) in compliance with the UK GDPR and Data Protection Act 2018.

9.2 Data is used solely for:

  • Class registration and management
  • Communication about classes, events, and safety matters
  • Insurance and safeguarding purposes

9.3 Data is not sold, shared with third parties (except insurers, payment processors, and safeguarding bodies), or used for marketing without consent.

9.4 Parents can request access to, correction of, or deletion of their personal data by contacting the Club.

10. Cancellation & Termination

10.1 The Parent may cancel the monthly Direct Debit and end the gymnast's place at any time by emailing info@taisogym.co.uk. There is no minimum contract length.

10.2 To avoid the next monthly payment being collected, cancellation notice must be received by the Club at least 5 working days before the next scheduled Direct Debit collection date. Notice received later may mean the upcoming payment is still taken; in that case Section 3 applies.

10.3 After cancellation takes effect, no further monthly fees will be collected. Fees already collected for the current month are dealt with under Section 3.

10.4 The Club may terminate a gymnast's registration at any time for serious misconduct, repeated safety violations, or non-payment of fees. Where the Club ends the arrangement (other than for non-payment or misconduct), any unused portion of the current month's fee may be refunded at the Club's discretion on a pro-rated basis.

11. General

11.1 These Terms are governed by the laws of England and Wales.

11.2 The Club reserves the right to amend these Terms at any time. Changes will be communicated to Parents via email, WhatsApp, or notice at the Club. Continued registration after changes constitutes acceptance.

11.3 If any part of these Terms is found to be unenforceable, the remaining Terms remain in full effect.

11.4 The Club is not liable for loss or damage to personal belongings brought to the Club.
